  • Online bookkeeping services publish $99 to $995 a month: Pilot from $99, Bench $199 to $599, Merritt $250 flat, Bookkeeper360 $399 to $599, Xendoo $395 to $995.
  • Price follows monthly expenses or accounts, and setup, catch-up and payroll are usually extra.
  • Packages sell a monthly close. Several exclude invoicing, bill pay, receivables, payables and payroll.
  • In 29 bookkeeping posts behind roles our clients filled, receivables appeared in 23 and payables in 20; 21 of 33 roles were part-time.
  • A dedicated remote bookkeeper through Virtustant starts at $8.50/hr all-in; a US bookkeeper earns a median $24.36 an hour before benefits.

Key Takeaways

Online bookkeeping services for small business cost $99 to $995 a month on published 2026 price lists: Pilot from $99, Bench from $199, Merritt Bookkeeping a flat $250, Bookkeeper360 from $399 and Xendoo from $395 to $995 by monthly expenses. Those prices buy a monthly close (categorized transactions, reconciled accounts and financial statements) on a set number of accounts. They often do not buy invoicing, bill pay or payroll, which are the tasks most small businesses actually hire a bookkeeper for. If you need those done every week, the comparison is not service against service but service against a dedicated remote bookkeeper, which through Virtustant starts at $8.50 an hour all-in.

This guide compares six online bookkeeping services on what each one publishes, shows what the packages leave out, and sets that against what 33 US businesses asked for in the bookkeeping roles they filled through Virtustant. Third-party prices are the ones each provider publishes, read on 15 October 2026.

Two Different Purchases Sold Under One Name

"Online bookkeeping service" covers two things that are priced, staffed and managed differently.

Bookkeeping package (subscription service)Dedicated remote bookkeeper
What you buyA defined monthly output: categorized transactions, reconciliations, a P&L and balance sheetHours of one named person working in your accounting system
How it is pricedFlat monthly fee, usually tiered by monthly expenses or number of accountsHourly rate, part-time or full-time
Who does the workA team or a rotating bookkeeper inside the provider, often with software automationThe same bookkeeper every day, on your schedule
CadenceMonthly, sometimes weeklyDaily
Usually includedCategorization, reconciliation, monthly statementsWhatever you assign: AP, AR, invoicing, collections, payroll prep, reporting
Best fitClean books, predictable volume, an owner who handles bills and invoicesDaily payables and receivables, several entities or messy volume, a team that needs a person to ask

Most "best online bookkeeping services" lists rank the first column only. That is fine if your problem is a monthly close. It is the wrong list if your problem is that nobody is sending invoices or chasing what is overdue.

Online Bookkeeping Services Compared: Published 2026 Prices

These are the six services whose prices we could read on their own pages or, where marked, in a dated third-party record. They are listed so you can compare like for like.

Bookkeeper360Monthly $399, Weekly $599 a month (starting prices)Plan cadencePayroll administration +$200, sales tax +$125, back-office +$150 a month; onboarding and prior bookkeeping $1,000
XendooEssential $395, Growth $695, Scale $995 a month ($355, $625, $895 billed annually)Monthly expenses up to $50K, $75K and $125K; 4, 6 or 12 bank and card accountsCustom quote above $125K a month or for full accrual accounting
QuickBooks Live BookkeepingNot listed on its pricing pageAverage monthly QuickBooks expenses, recalculated every three monthsFlat first-month fee for cleanup and setup; QuickBooks Online subscription is separate

Three patterns show up across the six. First, price follows your expense volume or number of accounts, not your hours, so a growing business moves up a tier without asking for more work. Second, setup and cleanup are priced separately: Bookkeeper360 publishes $1,000 for onboarding and prior bookkeeping, Merritt $200 for each month behind, QuickBooks Live a first-month flat fee. Third, the services that publish tiers stop at a ceiling (Xendoo at $125,000 in monthly expenses) and move larger or accrual-based books to a custom quote.

What Online Bookkeeping Packages Leave Out

The fastest way to compare packages is to read the exclusions. Here is what the providers themselves list as outside the base price:

  • QuickBooks Live Bookkeeping says its bookkeepers do not send invoices or pay bills, manage inventory, receivables or payables, give financial or tax advice, file tax returns or 1099s, or run payroll (Intuit help article, updated 3 August 2026).
  • Bookkeeper360 prices payroll administration, sales tax and back-office work as monthly add-ons on top of the plan.
  • Bench includes tax filing only in its $599 Core + Tax plan.
  • Xendoo caps each tier by bank and card accounts and integrations, and moves full accrual accounting to a custom quote.
  • Merritt Bookkeeping charges catch-up months separately from the $250 monthly fee.

That is not a flaw in the packages. A monthly close is what they are designed to sell, and it is often all a small business needs. The problem starts when a buyer expects the package to do the daily work around the close: issuing invoices, entering and paying bills, chasing late payments, preparing payroll. Those are hours of work, and hours are what a flat monthly fee is built to avoid.

What 33 Businesses Hired a Bookkeeper to Do

To see which side of that line real buyers fall on, we read the job posts behind the 33 bookkeeping positions (bookkeeper, accounts payable, accounts receivable and payroll roles) that US businesses filled through Virtustant, created in our recruitment system between October 2025 and October 2026. 29 had a readable job post.

Original data — 33 filled bookkeeping positions, 29 readable job posts. Tasks named: accounts receivable, invoicing or collections in 23 of 29; accounts payable in 20 of 29; financial statements or reporting in 18; bank and card reconciliation in 17; payroll in 11; budgeting or forecasting in 8; month-end or year-end close in 7; tax-filing support in 6. Software: QuickBooks in 22 of 29, Excel in 8, Xero in 3, Gusto and ADP in 2 each. Schedule: 21 of 33 part-time (20 hours a week was the most common), 9 full-time, 3 unclear; 4 of the part-time posts said the role could grow to full-time. Hours: 19 of 33 tied the role to a US time zone (14 Eastern, 2 Central, 3 Pacific). CPA required: 0 of 48 bookkeeping posts received. English: 27 of the 28 filled posts that set a level asked for C1 or higher. Virtustant first-party data, read 15 October 2026.

Four findings matter for anyone choosing between a package and a person:

  • The top two tasks are the ones packages most often leave out. Receivables appeared in 23 of 29 posts and payables in 20. Reconciliation, the core of every package, appeared in 17 of 29: it is part of the job, not the whole job.
  • Payroll is more than a third of the demand. 11 of 29 posts listed payroll work, which packages often price as an add-on or leave out.
  • Part-time is the norm, on US hours. Two in three roles were part-time, most often 20 hours a week, and more than half named a US time zone. That is a person working your mornings, not a monthly report.
  • Accounting firms are the biggest single buyer. 8 of the 33 roles were filled by accounting, bookkeeping or financial-services firms adding capacity for their own clients. Nobody required a CPA; QuickBooks skill and English were the filters.

Package vs Dedicated Bookkeeper: The Monthly Cost

Here is the arithmetic on published prices for a part-time bookkeeper (20 hours a week, about 80 hours a month) and a full-time one (about 160 hours), next to the package band. These are calculations, not quotes.

OptionBasis80 hours a month160 hours a month
Online bookkeeping packagePublished monthly fees above (Merritt $250 to Xendoo Scale $995)$250 to $995 a month, not priced by hours$250 to $995 a month, not priced by hours
Upwork freelance bookkeeper$11 to $25 an hour plus a 5% marketplace fee$924 to $2,100$1,848 to $4,200
Virtustant, starting rate$8.50 an hour all-in$680$1,360
Virtustant, H1 2026 bookkeeper median$12.85 an hour all-in (n=7, a small sample)$1,028$2,056
US bookkeeper, wage onlyBLS median $24.36 an hour (May 2025)—$3,897.60
US bookkeeper, loadedWage plus benefits (30.0% of compensation)—$5,568

Read the first row carefully. A package at $395 and a part-time bookkeeper at $1,028 are not two prices for the same thing. The package closes the month on a fixed number of accounts; the bookkeeper spends 80 hours inside your QuickBooks doing the receivables, payables and payroll prep a package often excludes. If you only need the close, the package is the cheaper buy. If you would otherwise add Bookkeeper360's payroll ($200) and back-office ($150) add-ons to a $599 plan, you are at $949 a month and still have no one sending invoices.

The US rows are wage plus benefits only, before payroll tax, software, equipment and recruiting. Against a comparable US hire, a managed remote bookkeeper can save up to 70% once payroll, benefits and overhead are counted. Our remote bookkeeper cost breakdown prices the role by country.

Which One Fits Your Business

If this describes youBuyWhy
Under a few hundred transactions a month, one bank account, you send your own invoicesAn online bookkeeping packageYou need a clean close and tax-ready statements, not daily labor
Books are behind by monthsA package with a published catch-up price, or a bookkeeper for a defined cleanup projectCatch-up is usually priced separately; get it in writing
Invoices go out late and nobody chases overdue paymentsA dedicated bookkeeper, part-timeReceivables work is daily and sits outside many packages
You pay many vendors and approve bills weeklyA dedicated bookkeeperPayables need someone in your system on your hours
You run payroll for a teamA bookkeeper, or a package plus a payroll providerPayroll is often an add-on or excluded
You are an accounting firm short on staffDedicated bookkeepers under your own processYou already own the method; you need capacity

Many businesses end up with both: a CPA or a package for the close and taxes, and a part-time bookkeeper for the daily work that feeds it. Our guide to hiring a remote bookkeeper covers the second half.

Six Questions to Ask Before You Sign

  1. What exactly is excluded? Ask for the exclusions in writing: invoicing, bill pay, payroll, sales tax, 1099s, inventory.
  2. What moves me to the next tier? Monthly expenses, number of accounts, integrations or transactions. Know the trigger before you hit it.
  3. What does setup or catch-up cost? Published figures range from a flat first-month fee to $1,000 a project and $200 per month behind.
  4. Who is my bookkeeper, and do they change? A named person and a response time matter more than the dashboard.
  5. Cash or accrual? Some entry tiers are cash basis only; accrual often means a higher tier or a custom quote.
  6. Is my accounting software included? QuickBooks Live is billed on top of a QuickBooks Online subscription; 22 of the 29 posts in our data ran on QuickBooks.

Frequently Asked Questions

How much do online bookkeeping services cost?

Published 2026 prices run from $99 to $995 a month: Pilot Essentials from $99, Bench from $199 to $599, Merritt Bookkeeping a flat $250, Bookkeeper360 from $399 to $599, and Xendoo from $395 to $995 by monthly expenses. Setup, catch-up and add-ons such as payroll are usually extra.

What is the best online bookkeeping service for a small business?

It depends on what you need done. If you need a clean monthly close and tax-ready statements, compare packages on exclusions and tier triggers. If you need invoicing, bill pay, collections or payroll done every week, a dedicated part-time bookkeeper usually fits better, because packages often exclude that work.

What do online bookkeeping services include?

Usually transaction categorization, bank and card reconciliation, and monthly financial statements. Many exclude sending invoices, paying bills, managing receivables and payables, payroll and tax filing, or sell them as add-ons.

Is an online bookkeeping service cheaper than hiring a bookkeeper?

For a monthly close only, yes: packages cost $99 to $995 a month. For daily work, compare hours: a part-time remote bookkeeper through Virtustant at the $12.85 H1 2026 median (n=7) is about $1,028 a month for 80 hours, against about $3,898 a month in wages alone for a full-time US bookkeeper at the BLS median of $24.36 an hour.

Do I need a CPA for bookkeeping?

Not for day-to-day bookkeeping. None of the 48 bookkeeping job posts Virtustant received in the past year required a CPA; QuickBooks skill and English were the common requirements. A CPA is useful for tax filing and advisory.

Can a remote bookkeeper work in QuickBooks on US hours?

Yes. 22 of 29 bookkeeping posts filled through Virtustant named QuickBooks, and 19 of 33 tied the role to a US time zone, most often Eastern.

How fast can I hire a remote bookkeeper?

Through Virtustant, you get a shortlist of 3 to 5 vetted candidates within 48 hours of your first call, and your hire can start in 72 hours.

Virtustant data. Bookkeeping positions (bookkeeper, accounts payable, accounts receivable, payroll) in Virtustant's recruitment system created 9 October 2025 to 15 October 2026: 54 received, 33 filled, 29 of the filled with a readable post; read on 15 October 2026. Our tool returns post excerpts, so tool and task counts are lower bounds, and search limits mean a few older positions may be missing. Generic accountant titles are excluded.
