Key Takeaways

Catch-up bookkeeping services are bookkeepers or firms that bring a business's books up to date after months or years of missed entries: categorizing old transactions, reconciling every bank and card account, and producing financial statements a tax preparer can use. As of 4 November 2026, published prices run from $75 to $320 per month behind, and from $1,000 to $5,000 for most cleanup projects. Per-month pricing (e.g., Bookkeeping-Services.com, SDO CPA): $75 to $320 for each month of backlog. Online bookkeeping firms (e.g., Xendoo, Fincent): catch-up starting at $295 to $299 a month. Project pricing (e.g., Bookkeeper360, Steph's Books): from $1,000, most projects $1,000 to $5,000. Freelance marketplaces (e.g., Upwork): QuickBooks freelancers at $15 to $30 an hour. Remote staffing agency, Latin America in US time zones (e.g., Virtustant): a dedicated bookkeeper from $8.50 an hour all-in, about $737 a month at 20 hours a week, with zero placement fees.

This guide compares 11 catch-up and cleanup options by the prices they publish, shows how far apart per-month and per-hour pricing really are, and gives you the Backlog-Hours Test: the check that turns “how many months behind are you?” into how many hours the work takes. It also shows what the 25 most recent bookkeeper searches in Virtustant's recruitment records asked for. Virtustant is a remote staffing agency and one of the options compared, so we stick to published facts and show every calculation. Third-party prices were read on each provider's own pages on 4 November 2026 unless noted.

What Catch-Up Bookkeeping Includes

Catch-up and cleanup are often used as one phrase, but they are two different jobs, and the price follows the job.

JobWhat it meansWhat drives the price
Catch-upThe months were never entered: bank feeds sat unreviewed, receipts were never matchedMonths behind and transactions per month
CleanupThe months were entered, but wrongly: miscategorized expenses, duplicate entries, accounts that do not reconcileHow many errors, and whether statements are missing
ReconstructionStatements or records are missing and have to be rebuilt from bank and vendor sourcesHours of investigation, often senior hours

Most providers below quote catch-up per month behind and quote cleanup after looking at the file. The output is the same either way: reconciled accounts, a profit and loss statement and a balance sheet for every period. If your books are current and you need someone to keep them that way, see bookkeeping services for small business.

Xendoo and Fincent publish a starting monthly price without saying how it scales with the backlog, so ask for the total before you start. Virtustant's H1 2026 placement data puts the median client-side rate for a bookkeeper at $12.85 an hour (n=7, a small sample); see the H1 2026 rate report.

The Backlog-Hours Test

Months behind is how catch-up is sold; hours is how it is done. To compare quotes, convert the backlog into hours. Bookkeeping-Services.com publishes the basis of its own price: a catch-up month of about 300 basic transactions covers up to 5 hours. We call this conversion the Backlog-Hours Test:

  1. Count the months behind and the transactions in a typical month across all bank and card accounts.
  2. Estimate the hours per month. About 5 hours for roughly 300 basic transactions is one published basis; more accounts, inventory, payroll or missing statements add hours.
  3. Multiply and compare. Backlog hours × an hourly rate, against each per-month or project quote.

For a simple 12-month backlog at 5 hours a month (60 hours), the published prices compare like this:

Pricing basisCost for 12 simple months
$320 per month behind (SDO CPA)$3,840
$75 per month behind (Bookkeeping-Services.com)$900
60 hours at $12.85 (Virtustant H1 2026 median)$771
60 hours at $8.50 (Virtustant starting rate)$510

The gap is not only price. A per-month quote transfers the risk of a slow month to the provider, and a fixed project quote caps your bill. Hours do neither: if the months are messier than expected, the hours grow. Use the test to spot quotes that are far out of line with the work, not to assume every month is simple. SDO CPA's guide, for example, cites estimates above $8,000 for an 18-month backlog with missing statements.

Catch-Up and the Month After

Catch-up has two clocks. The first is the backlog; the second starts the month after, when the books have to stay current or the backlog grows again. Monthly bookkeeping prices from the same providers:

Ongoing optionPublished monthly price
Bench$199 (Light, up to $250K revenue), $399, or $649 with tax
Bookkeeper360From $400
A dedicated bookkeeper at 10 hours a week ($8.50)About $368
A dedicated bookkeeper at 20 hours a week ($8.50)About $737

One way to buy both clocks at once: hire the ongoing bookkeeper first and let the backlog be their first weeks. If the current month needs 10 hours a week and the bookkeeper works 20, the spare 10 hours a week clears a 60-hour backlog in about six weeks, while the new months stay current.

The Deadlines to Work Back From

Most catch-up projects start because a tax return is due. For calendar-year businesses, 2026 partnership and S corporation returns are due 15 March 2027, and C corporation and individual returns are due 15 April 2027. Published turnarounds range from 7 days for up to 12 months (RemoteBooksOnline) to 2 to 6 weeks for most projects (Steph's Books), and Bookkeeping-Services.com quotes 6 to 12 weeks for multi-year or complex cases. A year-long backlog started in January leaves little time before a March deadline.

What 25 Bookkeeper Searches Show

We read the 25 most recent positions titled “bookkeeper” in Virtustant's recruitment system, opened between 31 July and 2 November 2026.

What we countedResult
Marked hired12 of 25
Full-time12 of 25
Part-time13 of 25, at about 10 to 20 hours a week where stated

Eight job posts were read in full. Seven named QuickBooks and seven asked for bank and account reconciliations. Five asked the bookkeeper to find and fix discrepancies, follow up on missing receipts or identify duplicates: cleanup work, written into an ongoing role. Five asked for bills, invoices or receivables, five for month-end close or monthly reports, and three for payroll. The posts drew between 2 and 500 applicants.

The pattern: companies rarely hire for the backlog alone. They hire the person who will keep the books current and fix what they find along the way. Client names, rates, budgets and salaries from these records are not published.

What an In-House Bookkeeper Costs

The US Bureau of Labor Statistics puts the median wage for bookkeeping, accounting and auditing clerks at $50,670 a year in May 2025, about $24.36 an hour, before payroll taxes, benefits and recruiting. With benefits at 30.0% of total compensation in private industry (BLS Employer Costs for Employee Compensation, June 2026), the loaded hour is about $34.80, or about $6,032 a month full-time. Virtustant's $8.50 starting rate is about 35% of the US median wage alone. The full breakdown is in our bookkeeper cost guide.

How the rate works: if you pay your agent $10/hr, we give them $9 and keep the dollar in the middle. The rate is all-in, with zero placement fees and month-to-month terms; see Virtustant pricing.

Eight Questions to Ask Before You Sign

  1. Is the price per month behind, per project or per hour? Get the total for your backlog in writing.
  2. What transaction volume does the price assume? Ask what happens above it.
  3. Is it catch-up or cleanup? Fixing wrong entries usually costs more than entering missing ones.
  4. What do I need to provide? Bank and card statements, loan statements, payroll reports, receipts.
  5. What do I get at the end? Reconciled accounts and statements for every month, ready for your tax preparer.
  6. How long will it take? Work back from your filing deadline, not forward from today.
  7. Who works in my accounting file? Give access through user roles, never by sharing a password.
  8. What happens next month? Decide who keeps the books current before the catch-up ends.

Hiring a Bookkeeper Through Virtustant

Virtustant is a remote staffing agency that places vetted bookkeepers and other remote professionals from Latin America with US businesses, from $8.50/hr all-in for a bookkeeper. Each placement is one named person working the US hours you set, full-time or part-time, inside your QuickBooks or Xero file and your bank feeds. Virtustant accepts the top 1% of applicants: 100% apply, 22% clear the recruiter screen, 9% pass cognitive (IQ), skills and English testing, 3% reach a live interview, 1% are hired. You get a shortlist of 3 to 5 vetted candidates within 48 hours of your first call, and your hire can start in 72 hours. Terms are month-to-month, with zero placement fees and a lifetime replacement guarantee with no time cap.

What it does not do: Virtustant does not sell a fixed-price catch-up project or prepare tax returns. It places the bookkeeper who clears the backlog and keeps the books current; your CPA files. See the bookkeeper role, how to hire a remote bookkeeper and what a bookkeeper does.

Frequently Asked Questions

What is catch-up bookkeeping?

Catch-up bookkeeping brings a business's books up to date after months or years of missed entries: categorizing old transactions, reconciling every bank and card account, and producing financial statements a tax preparer can use.

How much does catch-up bookkeeping cost?

As of 4 November 2026, published prices run from $75 to $320 per month behind (Bookkeeping-Services.com, SDO CPA), starting prices of $295 to $299 a month at online firms (Xendoo, Fincent), and $1,000 to $5,000 for most fixed-quote cleanup projects (Bookkeeper360, Steph's Books). A remote staffing agency such as Virtustant places a dedicated bookkeeper from $8.50 an hour all-in.

What is the difference between catch-up and cleanup bookkeeping?

Catch-up enters months that were never recorded. Cleanup corrects months that were recorded wrongly, such as miscategorized expenses, duplicates or accounts that do not reconcile, and usually costs more because each error has to be found first.

How long does catch-up bookkeeping take?

Published turnarounds range from 7 days for up to 12 months (RemoteBooksOnline) to 3 to 5 weeks for 6 to 12 months (Bookkeeping-Services.com) and 2 to 6 weeks for most projects (Steph's Books). Multi-year or complex backlogs can take 6 to 12 weeks.

What is the Backlog-Hours Test?

It converts months behind into hours: months times hours per month times an hourly rate, compared with each per-month or project quote. One published basis is about 5 hours for a month of roughly 300 basic transactions, so a simple 12-month backlog is about 60 hours.

Can I hire a bookkeeper to catch up and then keep the books?

Yes. A part-time bookkeeper working 20 hours a week can keep current months up to date and use spare hours on the backlog; at 10 spare hours a week, a 60-hour backlog clears in about six weeks.

Do I need catch-up bookkeeping to file taxes?

Your tax preparer needs accurate statements for the year. For calendar-year businesses, 2026 partnership and S corporation returns are due 15 March 2027 and C corporation and individual returns 15 April 2027, so start the catch-up early enough to finish before them.

How fast can I hire a bookkeeper through Virtustant?

You get a shortlist of 3 to 5 vetted candidates within 48 hours of your first call, and your hire can start in 72 hours, with zero placement fees and month-to-month terms.
