  • Five channels: Upwork ($10 to $20 an hour), Fiverr (5.5% fee), OnlineJobs.ph ($69 or $99 a month), a US VA agency like Time Etc ($36 to $39 an hour) or a remote staffing agency (Virtustant, from $7/hr all-in).
  • A US administrative assistant earns a median $22.86 an hour before benefits, about $5,225.14 a month loaded.
  • The channels differ less on price than on who vets, pays and replaces the assistant.
  • In 47 assistant posts behind positions our clients filled, every stated English level was C1 or higher, but only 1 strictly required industry experience.
  • Most roles started part-time at a median 20 hours a week on fixed US hours.

Key Takeaways

To hire a virtual assistant in 2026, decide the tasks and weekly hours first, then pick one of five channels: a freelance marketplace (Upwork lists $10 to $20 an hour for virtual assistants), a gig marketplace (Fiverr adds a 5.5% service fee), a job board where you hire and pay the person yourself (OnlineJobs.ph, $69 or $99 a month), a US virtual assistant agency (Time Etc publishes $36 to $39 an hour), or a remote staffing agency that places a dedicated assistant on your team (Virtustant, from $7 an hour all-in). A US administrative assistant earns a median $22.86 an hour before benefits. Whichever channel you use, the same five steps decide whether the hire works: scope, channel, screen, paid trial, onboarding.

This guide compares the five channels on price and on who does the vetting and replacing, prices a part-time and a full-time assistant under each one, and shows what 47 US employers actually wrote into the job posts behind the virtual, executive and administrative assistant positions they filled through Virtustant between June and October 2026. Third-party prices are those each source publishes, read on 14 October 2026.

Step 1: Decide What the Assistant Will Do, and for How Many Hours

Write down every task you want off your plate for two weeks, then sort it into three lists: recurring daily work (inbox, calendar, follow-ups, data entry), recurring weekly work (reports, invoicing, social posts, CRM clean-up) and one-off projects. The recurring lists decide the hours; the one-off list decides whether you need a project freelancer instead. Our list of virtual assistant tasks has the full menu.

Then answer four questions, because each one changes the channel:

QuestionIf the answer is yesWhy it matters
Will they answer calls or talk to your customers live? You need fixed hours that overlap yours, and spoken English tested on a live callAsynchronous freelancers in distant time zones struggle here
Do they need your logins, inbox or CRM?You want a dedicated person under a contract, not a rotating gig sellerAccess and accountability sit with one named person
Is it at least 10 hours a week, every week?Hire for a seat, not a taskRe-briefing a new freelancer each month costs more than any fee
Would a missed week cost you money?Ask who replaces the assistant if they leave, and how fastMarketplaces leave replacement to you

Step 2: Where to Hire a Virtual Assistant

There are five places to hire a virtual assistant. They differ less on hourly price than on who finds, vets, pays and replaces the person.

Remote staffing agencyVirtustantFrom $7 an hour all-in, no placement fee; median $10.10 an hour for a virtual assistant in H1 2026 (n=24)The agencyThe agency (payroll and compliance)The agency, under a lifetime replacement guarantee

The first three charge you for access to people; finding, testing, contracting and replacing them stays with you. The last two charge for a vetted match. A US agency like Time Etc sells hours from a pool and is built for lighter, flexible use; a remote staffing agency places one dedicated person in your systems and your hours, which suits 20 or 40 hours a week of recurring work. What It Costs to Hire a Virtual Assistant

Here is what each channel adds up to for a part-time assistant (20 hours a week, about 80 hours a month) and a full-time one (40 hours a week, about 160 hours). It is arithmetic on published prices, not quotes.

OptionBasis80 hours a month160 hours a month
Upwork freelancer$10 to $20 an hour plus a 5% marketplace fee$840.00 to $1,680.00$1,680.00 to $3,360.00

Virtustant, starting rate$7 an hour all-in$560.00$1,120.00
Virtustant, H1 2026 VA median$10.10 an hour all-in (n=24)$808.00$1,616.00
US administrative assistantBLS median $22.86 an hour, wage only—$3,657.60
US administrative assistant, loadedWage plus benefits (30.0% of compensation)—$5,225.14
US executive assistant, loadedBLS median $36.82 an hour plus benefits—$8,416.00

Two notes. Marketplace and job-board prices exclude your own time spent sourcing, testing and re-hiring, which is the real cost when a freelancer disappears. And the US figures are wages plus benefits only, before payroll tax, equipment or recruiting fees. Against a comparable US hire, a managed remote assistant can save up to 70% once payroll, benefits and overhead are counted. Our virtual assistant cost guide breaks the numbers down by role and country.

What 47 US Employers Asked for When They Hired an Assistant

To see what a hiring manager actually needs to screen for, we read the job posts behind the 47 most recent virtual assistant, executive assistant, administrative assistant and operations assistant positions our clients filled through Virtustant, created between 2 June and 8 October 2026.

Original data — 47 filled assistant positions (25 virtual, 14 executive, 6 administrative, 2 operations). English: all 46 posts that stated a level asked for C1 or higher; 12 set C2 as the floor. Prior experience required: 29 of 47; the 11 that named a number asked for a median of 1 year. Phone work listed as a duty: 19 of 47. Spanish required: 4 of 47. Tools named: Microsoft Office or 365 in 18, Google Workspace in 14, industry software (records, scheduling, transactions) in 9, QuickBooks in 5, AI tools in 5. A CRM was mentioned in 13, named in 6. Industry experience strictly required: 1 of 47; 33 did not mention industry at all. Schedule (45 with known hours): 26 part-time, median 20 hours a week; 19 full-time. Fixed block of US hours: 39 of 47. Time zone recorded: Eastern 25, Pacific 15, Central 1, Mountain 1. Virtustant first-party placement data, read 14 October 2026.

Four things stand out for anyone writing a VA job post:

  • English is the hard filter, industry is not. Every post that set a level asked for C1 or better, but only one strictly required industry experience. Employers screen for communication and judgment, then train the domain.
  • One year of experience is the usual bar. Six in ten posts asked for prior experience; those that named a number mostly said one or two years. Asking for five years of "VA experience" shrinks the pool without improving the hire.
  • Office and Google tools come before any CRM. Microsoft tools appeared in 18 posts and Google tools in 14; only 6 named a specific CRM. List the tools the assistant will open on day one, not every tool you own.
  • 20 hours a week on fixed US hours is the normal start. More than half the roles were part-time, and 83% set a fixed block of US working hours, mostly Eastern and Pacific. Same-hours coverage is what a nearshore assistant in Latin America provides.

Healthcare and real estate led the list; see our guides to a healthcare virtual assistant and a real estate virtual assistant if that is your field.

Step 3: How to Screen Virtual Assistant Candidates

  1. English on a live video call, not a written test. If the role includes calls, include a two-minute role-play of a real call.
  2. A tools check on the three tools from your post: share a screen and ask them to do one real action in each.
  3. A judgment question: "Your manager is unreachable and a client asks to move tomorrow's meeting. What do you do?" Look for a clear, safe default.
  4. Two references who supervised them, asking about reliability and how they handled a mistake.
  5. Schedule and setup: confirm the exact US hours, a backup internet connection and a quiet workspace.

Our virtual assistant interview questions give you the full question bank with what a good answer sounds like.

Steps 4 and 5: Paid Trial and Onboarding

Run a paid trial of one to two weeks on real work with a written definition of success: for example, inbox at zero by 2 p.m. Eastern every day, every new lead logged in the CRM within an hour. Four of the 47 posts in our data defined what success looks like by day 90; write that down before day one.

Onboard in writing. Give access through a password manager, record short videos of each recurring task, and set a daily end-of-shift report and a weekly 30-minute review. Eight of the 47 posts planned a structured first week of training. Use our virtual assistant onboarding checklist to cover accounts, security and the first 30 days.

Six Mistakes That Sink a VA Hire

  • Hiring before scoping. Without a task list and hours, every candidate looks fine and none fits.
  • Choosing on hourly price alone. A cheaper rate that comes with no vetting or replacement is often the more expensive hire.
  • Skipping the live English check for a role that talks to your customers.
  • No overlap with your hours when the work needs same-day answers.
  • Sharing passwords in chat instead of a password manager with revocable access.
  • No owner on your side. An assistant with no named manager and no weekly review drifts within a month.

Frequently Asked Questions

How do I hire a virtual assistant?

List the tasks and weekly hours, choose a channel (a freelance marketplace, a job board, a US virtual assistant agency or a remote staffing agency), screen candidates on a live call with a tools check, run a paid trial of one to two weeks, and onboard with written processes and a weekly review.

How much does it cost to hire a virtual assistant?

Upwork lists $10 to $20 an hour for virtual assistants, plus a 3% to 5% client fee. Time Etc publishes $36 to $39 an hour. Through Virtustant, virtual assistants start at $7 an hour all-in, and the H1 2026 median was $10.10 an hour (n=24), about $1,616 a month full-time. A US administrative assistant earns a median $22.86 an hour before benefits.

Where is the best place to hire a virtual assistant?

It depends on the work. For a one-off task, a freelance or gig marketplace is enough. For 10 or more hours a week of recurring work that needs your inbox, calendar or phone, a dedicated assistant through an agency that vets, pays and replaces them is usually simpler to manage.

Should I hire a virtual assistant through an agency or a freelancer?

A freelancer costs less to start, but you do the sourcing, vetting, contracting and replacing yourself. An agency charges for a vetted match and handles payroll and replacement. If a missed week would cost you money, the agency model usually wins.

How many hours a week should a virtual assistant work?

Most start part-time. In 45 assistant positions with known hours filled through Virtustant between June and October 2026, 26 were part-time with a median of 20 hours a week, and 19 were full-time.

What should I look for when hiring a virtual assistant?

Clear spoken English tested live, about a year of relevant experience, hands-on skill in the three tools they will use on day one, sound judgment when you are unreachable, and fixed hours that overlap yours. In our data, every post that set an English level asked for C1 or higher, and only one strictly required industry experience.

How fast can I hire a virtual assistant?

Through Virtustant, you get a shortlist of 3 to 5 vetted candidates within 48 hours of your first call, and your hire can start in 72 hours.
