Social Media Virtual Assistant: Cost, Scope and How to Hire

A social media virtual assistant is a remote professional who schedules posts, writes captions from a brief, formats graphics and short video, answers routine comments and DMs, and reports what performed. In Virtustant's placement data, social media professionals cost a median $12.00 an hour all-in (n=46, placements that started 22 Sep 2025 to 22 Sep 2026), so a 20-hour week runs about $1,040 a month. The job is execution: brand strategy stays with you.
Below: what 24 recent social media searches actually asked for, what the role costs at 20 and 40 hours, and a test for sizing it before you post the job, with the arithmetic per post and per channel.
The role turns approved ideas and brand guidance into consistent, trackable publishing. The Upwork guide to social media virtual assistants lists the core duties as maintaining a content calendar across Instagram, TikTok and LinkedIn, writing captions, gathering hashtags, preparing simple graphics in Canva, scheduling through tools like Hootsuite, Buffer or Later, replying to comments and DMs, tracking reach, engagement and follower growth, and researching trends and competitor content.
Providers that sell the service describe the same core. Prialto's overview of social media virtual assistants lists trendspotting, content repurposing, content curation, scheduling posts, account monitoring, competitor analysis, and analytics and reporting. Kuubiik's industry summary, published by a company that places VAs, puts marketing and social media almost level with executive and admin support in how VA work is split, though it does not name the dataset behind that split.
In practice the week splits into content production (turning a newsletter, podcast or webinar into platform-specific posts), publishing operations (calendar, assets, link checks, scheduling), community management (routine replies, with leads and complaints escalated), and reporting.
Operator rule: hire the VA to protect consistency and response quality. Keep positioning, channel selection, major creative decisions and business-sensitive communication with a senior owner.

Job descriptions online say what a social media VA can do. To see what buyers actually ask for, we pulled the 24 most recent searches with social media in the title, opened between 24 July and 23 September 2026 by 23 companies, and coded each posting.
| What the posting asked for | Searches (of 24) |
|---|---|
| Named a specific US time zone | 24 (18 Eastern, 4 Pacific, 1 Central, 1 Mountain) |
| Posted as part-time | 19 |
| Stated exactly 20 or exactly 40 hours a week | 10 of the 16 that gave a single weekly figure |
| Named Instagram | 15 |
| Named Facebook | 10 |
| Named TikTok / LinkedIn | 7 / 7 |
| Named YouTube / X / Pinterest | 4 / 4 / 2 |
| Asked for short-form video or video editing | 12 |
| Wrote "develop the social media strategy" or similar into the duties | 12 |
| Named AI tools (Claude, ChatGPT or "AI tools") | 5 |
| Named Canva | 4 |
| Carried the title "Social Media Manager" | 18 |
Source: Virtustant first-party search data, the 24 most recent searches with "social media" in the title, opened 24 Jul to 23 Sep 2026 (23 companies). One executive assistant search at a company with "social media" in its name was excluded. Weekly hours come from the stated figure or, where only a daily window was given, the window times five weekdays. Tools and platforms are counted only where the posting text names them.
Four takeaways. Coverage is part of the product: all 24 named a US time zone, in line with assistant searches overall, where 68 of 75 with a stated schedule (91%) named one. Buyers purchase slices, not seats: 19 of 24 were part-time. Video is half the job: 12 of 24 asked for it. The title does not predict the scope: 18 of 24 were called "Social Media Manager", with budget midpoints from $575 to $2,338 a month.
The cleanest number is what companies actually pay. Across 46 social media placements that started between 22 Sep 2025 and 22 Sep 2026, the client's all-in hourly rate had a median of $12.00, with the middle half between $10.66 and $12.89. Rates for the role start at $8.00. For comparison, general virtual assistants placed at a median of $10.73 (n=42), and all 462 placements with a derivable rate at $12.75.
Monthly cost is hours per week times 52, divided by 12, times the rate:
| Rate point (social media, n=46) | Hourly | 20 hours a week | 40 hours a week |
|---|---|---|---|
| Floor | $8.00 | $693 | $1,387 |
| 25th percentile | $10.66 | $924 | $1,848 |
| Median | $12.00 | $1,040 | $2,080 |
| 75th percentile | $12.89 | $1,117 | $2,234 |
Arithmetic: 20 h × 52 ÷ 12 = 86.7 hours a month; 86.7 × $12.00 = $1,040. At 40 hours, 173.3 hours a month. Source: Virtustant first-party placement data, placements started 22 Sep 2025 to 22 Sep 2026.
Budgets line up with that. Marketing and social media buyers who opened a search with us through 23 Sep 2026 stated a median monthly budget of $1,212 (n=23 companies, range $216 to $5,196), and 61% wanted part-time. At the $12.00 median, $1,212 buys 101 hours a month, or about 23 hours a week. The typical budget is a 20-hour slot, not a full-time person. Part-time does not cost more per hour either: across all 462 placements, 46% were part-time, and the part-time median of $12.41 sits below the full-time $12.93.
Two outside reference points help. Upwork's guide says hiring a social media VA "generally costs $10-$20 per hour," which is $867 to $1,733 a month at 20 hours; that is the freelancer's rate, and the sourcing, vetting and replacement work stays with you. A US direct hire carries benefits on top of wages: in the BLS Employer Costs for Employee Compensation release for June 2026, benefits were 30.0% of private-industry compensation ($14.07 of $46.89 per hour worked), so every $1.00 of wages carries about $0.43 of benefits.
If you are pricing a strategist rather than an assistant, the numbers are different; our social media manager cost breakdown covers US salary benchmarks and the loaded cost of an in-house hire. For the role itself, see how we staff a remote LATAM social media manager position, and the full rate table on our remote staffing pricing page.
A social media VA is bought for one of two things. Output is a count of finished pieces: posts, reels, carousels, reports. Coverage is a person present in your time zone during a window, answering comments and DMs and catching problems before they grow. Most buyers price one and then judge the hire on the other. The test forces the choice before you write the job post.
Worked example (hypothetical inputs): three channels at five posts each is 15 posts a week. You estimate 14 hours of output and want a two-hour daily response window, which is 10 hours of coverage. Output wins, so you round 14 up to a 20-hour slot. At the median, 20 × 52 ÷ 12 × $12.00 = $1,040 a month. Fifteen posts a week is 15 × 52 ÷ 12 = 65 posts a month, so the unit cost is $1,040 ÷ 65 = $16.00 per post, or $346.67 per channel per month.
Here is the same test applied to three real searches from the sample above, with client names removed:
| Search (anonymized) | What drives the hours | Hours | Stated budget | Unit math |
|---|---|---|---|---|
| A performer's short-form video role, up to 12 videos a week | Output (video count) | 20 a week | $1,040 a month | 12 × 52 ÷ 12 = 52 videos a month; $1,040 ÷ 52 = $20.00 per video; 20 h ÷ 12 = 1 h 40 min per video |
| A community role across 4 Instagram accounts and 6 Facebook groups | Channel count (10 properties) | 15 to 20 a week | $866 to $1,212 a month | $866 ÷ 10 = $86.60 to $1,212 ÷ 10 = $121.20 per account or group per month |
| A launch-from-zero role posting at least once a day | Daily cadence plus engagement | 15 to 20 a week | $1,000 to $1,500 a month | 365 ÷ 12 = 30.4 posts a month; $1,000 ÷ 30.4 = $32.88 to $1,500 ÷ 30.4 = $49.32 per post |
The first search budgeted exactly what 20 hours cost at our $12.00 median, at $20.00 a finished video. The second is where buyers get surprised: ten properties at 15 to 20 hours is 1.5 to 2 hours a week per account, enough for consistent posting and moderation, not for original creative on each. The third is output-led on paper but needs coverage too, because a brand posting daily from zero needs someone answering the first comments.
For the 20-versus-40 decision in more depth, our guide to virtual assistant rates and pricing models runs the same test across roles.
Most social media VA hires fail the same way: the founder hires for execution, then judges the person on growth and positioning without giving them authority over either. Half the searches in our sample wrote strategy into the duties of a mostly part-time slot. Put the boundary in the job description.
| Execution: VA owns | Light strategy: VA supports | Escalate: you own |
|---|---|---|
| Schedule approved posts | Draft the content calendar | Choose the primary channel |
| Write captions from briefs | Suggest audience segments | Build campaign architecture |
| Research hashtags | Suggest tests to run | Set the brand position |
| Reply to routine comments | Identify recurring audience questions | Paid media above approved budgets |
| Prepare monthly reports | Flag patterns in performance | Creative direction for the brand |
| Resize graphics and cut clips | Recommend repurposing opportunities | Crisis communication |
Writing a caption is execution; choosing whether the company launches on LinkedIn or TikTok is strategy. In paid social, a VA can prepare creative variations and report approved metrics, but budget, targeting and conversion diagnosis belong to a paid media owner.
Give every task an owner, an approver and an escalation condition. Example: the VA drafts three LinkedIn posts from the founder memo, the founder approves claims and tone, and the VA stops and asks if a draft introduces a new promise or customer claim.
Role descriptions vary widely across providers, which is why Ocean's Talent's explanation of social media VA responsibilities is best treated as a menu, not a universal definition. It lists content calendar management, post formatting and scheduling, asset coordination, content repurposing, community monitoring and escalation, basic social reporting, and founder or executive content support. Pick the items you need and leave the rest out.
Practical rule: if you cannot say who makes the final decision, the task is not ready to delegate.
The matrix works the same whether the person comes from a freelance platform, a direct hire or one of our dedicated virtual assistants. The hiring route changes the management load, not the scope.
Hourly rates hide most of the cost: you are also buying vetting, administration and replacement.
| Route | Who sources and vets | Who handles pay and paperwork | If it does not work out | Best fit |
|---|---|---|---|---|
| Direct hire | You | You, plus benefits and payroll tax for a US hire | You restart the search | A stable, full-time role you can manage in house |
| Freelance platform | You, using profiles and reviews | You and the platform | You restart the search | A contained project or a short trial |
| Managed VA service | The provider | The provider | Depends on the provider's terms | Fractional help inside a fixed service model |
| Remote staffing agency | The agency, with your final interview | The agency | Depends on the agency's replacement terms | A dedicated person on your schedule, without the admin |
Time zone matters more for social than for back-office roles. According to Jobgether's LATAM remote hiring guide, most of Latin America operates between UTC-3 and UTC-6, overlapping the business day in every US time zone.
At Virtustant, a remote staffing agency, you get a shortlist of 3 to 5 vetted candidates within 48 hours. Across 468 placements in the 12 months to 23 Sep 2026, the average time from opening a search to the professional's start date was 11.2 days; our time-to-hire benchmark puts that against the published US figures. There are no recruitment or placement fees, the arrangement is month-to-month, and replacement is covered by a lifetime guarantee with no time cap. For a model-by-model breakdown, read freelance vs. agency vs. managed VA, then compare remote staffing agencies by asking each one to price the same task list.
Tool familiarity is the baseline, not the signal. Use the same prompts, exercise and rubric for every applicant.
Disqualify on missing writing samples, no portfolio access, or an unwillingness to explain the process. If your test put video in the output, add an editing sample: half our sample asked for it.
A 30-minute interview script:
Weight caption clarity, publishing workflow and moderation judgment highest, and score right after the call. For the broader checklist, see the skills to look for in a VA.
Do not hand over every credential on day one; widen access once accuracy is proven.
Day one: the brand voice document, content pillars, shared drive, editor access in the scheduling tool, and a recorded walkthrough of your publishing process. Keep payment settings, ownership permissions and customer exports out of the first setup. Week two: view-only analytics, read-only ad account access, and community management access, once the VA has followed the approval path cleanly.

Across the first 90 days, move from foundation (voice, formats, approval workflow) to owning one channel and shipping the first monthly recap, then to running reporting alone and proposing experiments. You approve experiments, not every formatting decision.
The PostSyncer 2026 playbook is a useful reference on workflow design and account security for remote social teams.
AI changes the workflow, not the need for review. MarketsandMarkets' AI in social media report projects that market growing from $2.20 billion in 2024 to $10.33 billion by 2029 (36.2% CAGR). Let the VA use AI for drafts; keep a human check on every public claim. To wire an agent into publishing, the PostPulse AI social agent tutorial covers approval steps and audit logging.
When the hire comes through Virtustant, an account manager becomes your main point of contact and reaches out the same day to coordinate onboarding, the start date, tools access and the first-week plan. We follow up with you and with the professional during the first weeks to catch issues early. You direct the day-to-day work; we handle payroll, paperwork and everything administrative on the professional's side. More on the first weeks in our remote onboarding guide.
"Be responsive" is not inspectable. Write each commitment as a number you choose before day one.
| Commitment | What to write down |
|---|---|
| Community response (coverage-led roles) | Maximum time to acknowledge a comment or DM during the coverage window |
| Output count (output-led roles) | Pieces per week by channel and format |
| Content lead time | How far ahead drafts reach the approver before publishing |
| Reporting | Which metrics, which day of the month, in which template |
| Handover | Files, logins and status notes to hand back if the role changes |
Each week, spot-check published work for caption accuracy, visual compliance, working links and tone.
For reporting, the automated social media reporting for agencies piece from Exerta makes a point that applies to in-house teams too: build the report around operational outcomes, such as first-response and escalation time, rather than activity totals. Automation can compile the numbers; it does not replace a review of the claims behind them.
In the agreement, make sure content and templates belong to you, and that extra channels or coverage hours require a written scope change.
A social media virtual assistant schedules approved posts, writes captions from briefs, formats graphics and short video, answers routine comments and DMs, and reports results. In the 24 most recent social media searches opened with Virtustant (24 Jul to 23 Sep 2026), 12 also asked for short-form video or editing. Strategy stays with the owner.
Across 46 Virtustant social media placements that started between 22 Sep 2025 and 22 Sep 2026, the median all-in rate was $12.00 an hour, with the middle half between $10.66 and $12.89 and rates starting at $8.00. At 20 hours a week that is about $1,040 a month at the median. Upwork says freelance social media VAs generally cost $10 to $20 an hour.
Count output hours (pieces times time per piece) and coverage hours (daily response window times days), take the larger, and round to 20 or 40. Of Virtustant's 332 most recent placements, 74.1% asked for exactly 20 or exactly 40 hours a week.
Not in scope, even when the title matches. A VA executes an approved plan; a manager owns strategy and results. In Virtustant's 24 most recent social media searches, 18 were titled Social Media Manager, with budget midpoints from $575 to $2,338 a month, so read the duties, not the title.
Yes, and buyers expect it. All 24 of the most recent social media searches opened with Virtustant named a specific US time zone: 18 Eastern, 4 Pacific, 1 Central and 1 Mountain. Most of Latin America sits between UTC-3 and UTC-6, which overlaps the US business day.
A design tool such as Canva, a scheduler such as Buffer, Hootsuite, Later or Meta Business Suite, and your channels' native apps. In Virtustant's 24 most recent social media searches, 4 named Canva, 5 named AI tools such as Claude or ChatGPT, and CapCut appeared in video-focused roles.
A freelancer suits a contained project or short trial, and you carry sourcing, vetting and replacement. A remote staffing agency suits an ongoing role where you want a dedicated person on your schedule without the admin. Compare both on the same task list and hours.
