  • Published insurance verification prices, read 6 November 2026: $2.50 to $2.95 per patient for eligibility only and $8.25 to $8.95 for a full benefit breakdown (Dental Claim Support, Wisdom); verification-only plans from $350 to $1,000 a month (Zap).
  • Software your own staff runs costs from $125 a month (pVerify) to $1,499 (VerifyTX); Availity's basic portal is free for providers.
  • The Cost-per-Breakdown Test: hourly cost ÷ breakdowns per hour. At four an hour, a loaded US hour gives $7.89 per breakdown and a $7/hr remote verifier gives $1.75.
  • Published turnarounds are two to three business days before the appointment; later checks are billed as expedited.
  • Of seven recent verification searches in Virtustant's records, five were hired, three were for dental practices, and one ran from 2 to 9 a.m. Pacific to clear patients before the clinic opened.

Key Takeaways

Insurance verification services check a patient's coverage before the visit: whether the plan is active, what it pays, what the patient owes, and whether the procedure needs a prior authorization. As of 6 November 2026, published prices run from $1.95 to $8.95 per patient for a standard check, and from $350 to $1,000 a month for verification-only plans. Per-check dental services (e.g., Dental Claim Support, Wisdom): $2.50 to $2.95 for eligibility only and $8.25 to $8.95 for a full benefit breakdown. Monthly verification plans (e.g., Zap Dental Billing, eAssist): $350 to $1,000 a month by volume, or a monthly plan plus a per-check fee. Verification software your own staff runs (e.g., pVerify, VerifyTX): from $125 to $1,499 a month; Availity's basic portal is free for providers. Hourly healthcare virtual assistants (e.g., Hello Rache): $9.50 an hour. Remote staffing agency, Latin America in US time zones (e.g., Virtustant): a dedicated healthcare virtual assistant from $7/hr all-in, about $607 a month at 20 hours a week, with zero placement fees.

This guide compares 10 verification options by the prices they publish, works out what each costs at 150, 300 and 500 verifications a month, and gives you the Cost-per-Breakdown Test: the way to compare a per-check price with an hourly person. It also shows what the most recent verification searches in Virtustant's recruitment records asked for. Virtustant is a remote staffing agency and one of the options compared, so we stick to published facts and show every calculation. Third-party prices were read on each provider's own pages on 6 November 2026. This is not legal advice on HIPAA.

What an Insurance Verification Includes

Providers sell two levels of check, and the price follows the level. Comparing a $2.50 quote with an $8.25 quote only makes sense once you know which level each one is.

LevelWhat it answersPublished price range
Eligibility onlyIs the plan active on the date of service? Who is the subscriber?$1.95 (failed check) to $2.95 per patient
Full benefit breakdownDeductible, maximums and amounts used, frequencies, waiting periods, covered and non-covered services, the patient's share$8.25 to $8.95 per patient; $12.75 to $17.00 for custom and oral surgery breakdowns
Authorization checkDoes the procedure need a prior authorization, and is the current one valid?Usually quoted separately or bundled with billing

The output should land in your practice management system or EHR, not in an email. Dental Claim Support, for example, publishes that its verification PDFs are saved to the patient chart and written back into the practice software.

What Each Option Costs at Three Volumes

Monthly cost for full benefit breakdowns, using the published prices above. Setup fees are left out.

Option150 a month300 a month500 a month
Dental Claim Support, $8.25 per breakdown$1,238$2,475$4,125
Wisdom, $99 plus $8.95 per breakdown$1,442$2,784$4,574
Zap, verification-only plan$500$800$1,000
Eligibility only at $2.50 (Dental Claim Support)$375$750$1,250
Dedicated person at $7/hr, 4 breakdowns an hour (assumed)$262$525$875

The last row depends on one number no provider publishes: how many full breakdowns a person completes in an hour. That is what the next section is for.

The Cost-per-Breakdown Test

A per-check price and an hourly rate only compare once both are turned into the same unit. We call the conversion the Cost-per-Breakdown Test: hourly cost ÷ breakdowns completed per hour, set against the per-check price for the same level of detail.

Breakdowns per hourAt $7/hr (Virtustant starting rate)At $31.54/hr (US medical secretary, loaded)
3$2.33$10.51
4$1.75$7.89
6$1.17$5.26

Two readings come out of the grid. First, the per-check services are priced close to what an in-house US verifier costs: at four breakdowns an hour, a loaded US hour works out to $7.89 per breakdown, against $8.25 to $8.95 published. Second, a remote verifier at $7 an hour stays below even the eligibility-only prices until throughput drops under about three breakdowns an hour. To use the test, time 20 real verifications on your own payer mix during a trial week, then divide.

The test leaves out what the services include. A per-check service carries its own software and portal access, covers sick days, and charges nothing in a slow month beyond any minimum. A person needs your logins and a steady volume, and can use spare hours on the work around verification: calling patients about their share, scheduling, and chasing authorizations.

When Verification Has to Happen

Verification is deadline work. The two dental services that publish a turnaround finish at least two business days (eAssist) or three business days (Dental Claim Support) before the appointment, and charge more for anything later: $12.50 for eAssist's ASAP check, $2 extra at Wisdom without two business days' notice. Same-day add-ons and schedule changes are where per-check pricing gets expensive, because they are always the expedited kind.

A dedicated person works the schedule instead of a queue. One verification search in Virtustant's records ran Monday to Saturday from 2 to 9 a.m. Pacific, so every patient was cleared before the clinic opened; two dental searches ran 9 a.m. to 1 p.m. Eastern. For the front-desk side of the same day, see virtual medical receptionist prices.

What Seven Verification Searches Show

We read the seven most recent positions centered on insurance eligibility, benefits or authorization verification in Virtustant's recruitment system, opened between October 2025 and October 2026. Six job posts were read in full.

What we countedResult
Marked hired5 of 7
Dental practices3 of 7
Part-time2 of 7, both 20 hours a week in the morning
Also asked for prior authorizations or authorization units2 of 6 posts
Applicants per post43 to 1,038 (1,910 across the six)

All six posts asked for insurance or authorization status to be checked before the patient is seen. Four asked for benefit details beyond eligibility, such as copays, deductibles or procedure-level coverage, written into the patient record. The dental posts named Dentrix and Open Dental; one medical post named Tebra and Zoho CRM. One dental post combined verification with bilingual front-desk calls in English and Spanish. Client names, rates, budgets and salaries from these records are not published.

HIPAA and Access

Under the HIPAA Privacy Rule, a practice that lets a vendor handle protected health information on its behalf generally needs a business associate agreement with that vendor first. None of the verification pages we read publishes a BAA statement; several show HIPAA badges or describe HIPAA training. VerifyTX links to a business associate agreement page. Ask every option for the agreement in writing, and remember that HHS does not recognize private “HIPAA certifications”.

With a dedicated verifier, the practice sets the HIPAA rules and controls the access: the person works only inside the payer portals, practice management system and EHR accounts you grant, under their own logins, with access you can revoke the same day.

What an In-House Verifier Costs

Insurance verification in a US practice is usually done by front-office staff. The US Bureau of Labor Statistics puts the median wage for medical secretaries and administrative assistants at $45,930 a year in May 2025, about $22.08 an hour. With benefits at 30.0% of total compensation in private industry (BLS Employer Costs for Employee Compensation, June 2026), the loaded hour is about $31.54, or about $5,467 a month full-time, before recruiting and a desk. Virtustant's $7 starting rate is about 32% of the US median wage alone.

How the rate works at Virtustant: if you pay your agent $10/hr, we give them $9 and keep the dollar in the middle. The rate is all-in, with zero placement fees and month-to-month terms; see Virtustant pricing.

Eight Questions to Ask Before You Sign

  1. Which level is the price for? Eligibility only or a full benefit breakdown, and what each one includes.
  2. How many business days before the appointment? And what a same-day or rescheduled check costs.
  3. What is charged for a failed check? Inactive or not-found patients are billed at some services.
  4. Is there a setup fee, a monthly minimum or a contract term?
  5. Where does the result go? Written into the patient record in your system, or sent as a file.
  6. Who calls the payer when the portal is not enough? Phone calls are where breakdowns take longest.
  7. Do you flag prior authorizations? And who requests them.
  8. Will you sign a business associate agreement? Ask by name for everyone who will see patient data.

Hiring a Verification Specialist Through Virtustant

Virtustant is a remote staffing agency that places vetted healthcare virtual assistants and other remote professionals from Latin America with US practices, from $7/hr all-in. Each placement is one named person working the US hours you set, including early mornings before the clinic opens, inside your payer portals, practice management system and EHR. Virtustant accepts the top 1% of applicants: 100% apply, 22% clear the recruiter screen, 9% pass cognitive (IQ), skills and English testing, 3% reach a live interview, 1% are hired. You get a shortlist of 3 to 5 vetted candidates within 48 hours of your first call, and your hire can start in 72 hours. Terms are month-to-month, with zero placement fees and a lifetime replacement guarantee with no time cap. Business associate agreement terms are reviewed on the discovery call.

What it does not do: Virtustant does not sell verification per check, provide verification software or a clearinghouse, or bill your claims as a billing company. It places the person who runs the checks in your systems. Frequently Asked Questions

How much do insurance verification services cost?

As of 6 November 2026, published prices run from $2.50 to $2.95 per patient for eligibility only and $8.25 to $8.95 for a full benefit breakdown (Dental Claim Support, Wisdom), and from $350 to $1,000 a month for verification-only plans (Zap). Software your staff runs costs from $125 a month (pVerify), and a remote staffing agency such as Virtustant places a dedicated healthcare virtual assistant from $7/hr all-in.

What is the difference between eligibility and a full benefit breakdown?

An eligibility check confirms the plan is active on the date of service. A full breakdown adds the deductible, maximums and amounts used, frequencies, waiting periods, covered services and the patient's share, which is why it costs about three times as much per patient.

What is the Cost-per-Breakdown Test?

It divides an hourly cost by the number of full breakdowns completed per hour and compares the result with the per-check price. At $7 an hour and four breakdowns an hour, a breakdown costs $1.75; a loaded US hour of $31.54 gives $7.89, close to the $8.25 to $8.95 that per-check services publish.

How far ahead should insurance be verified?

The services that publish a turnaround finish at least two business days (eAssist) or three business days (Dental Claim Support) before the appointment. Later checks are billed as expedited, so same-day add-ons and schedule changes cost more per patient.

Is insurance verification software enough?

Software such as Availity, pVerify or VerifyTX returns eligibility data, but someone still has to run the checks, read the benefits, call the payer when the portal is incomplete and write the result into the patient record. It fits practices whose staff have spare time.

Can insurance verification be done remotely?

Yes. Verification is done in payer portals, by phone and in the practice management system, so a remote verifier with the right logins does the same work. Under HIPAA, the practice should control the access and have the right agreement in place before sharing patient data.

Do insurance verification companies sign a BAA?

They should, if they handle protected health information for your practice. None of the verification pages we read publishes a BAA statement, and VerifyTX links to a business associate agreement page, so ask every option in writing.

How fast can I hire a verification specialist through Virtustant?

You get a shortlist of 3 to 5 vetted candidates within 48 hours of your first call, and your hire can start in 72 hours, with zero placement fees and month-to-month terms.

Third-party prices. Read on each provider's own pages on 6 November 2026: Dental Claim Support pricing, Wisdom pricing, eAssist verification pricing and verification page, Zap Dental Billing pricing, MBW RCM, Availity, pVerify pricing, VerifyTX pricing and Hello Rache pricing. eAssist's pricing page shows two monthly tables ($225 to $675 and $250 to $825 per location) without labeling which applies, so we quote the full range. Figures are reported as published; prices and terms change, so confirm them in writing.

Calculations. Volume costs: verifications × the per-check price (Wisdom adds $99). Cost per breakdown: hourly cost ÷ breakdowns per hour; the throughput values are assumptions to replace with your own timing. Monthly hours: weekly hours × 52 ÷ 12 (20 hours a week = 86.7; 40 = 173.3). Loaded US hour: median wage ÷ 0.70.
